The Role

Reporting to the Customer Service Manager, as an integral part of the Customer Service team, the Receptionist / Office Administrator is the first point of contact for apprentices, trainees, host employers, students and industry partners. This pivotal front-of-house role is responsible for creating a professional and welcoming environment while ensuring the smooth day-to-day administration of our busy training and employment operations.

 

Key Responsibilities:

  • Lead the PEER reception area with energy and professionalism, acting as the welcoming first point of contact for applicants, learners, industry visitors and staff.

  • Take ownership of our student management system, ensuring enrolments, attendance and records are managed accurately and efficiently.

  • Champion PEER’s office processes and procedures, confidently managing student arrivals, early departures and timely follow-ups.

  • Coordinate incoming communications with precision, monitoring shared inboxes and ensuring messages are relayed promptly and accurately.

  • Manage learner and apprentice payments with care, including receipting and completing weekly banking tasks.

  • Keep operations running smoothly, overseeing stationery supplies, stock ordering, and the distribution and collection of mail.

  • Prepare and distribute clear, professional communications to learners and staff as required.

  • Provide proactive administrative support across both the RTO and GTO functions, contributing to seamless daily operations.

  • Embrace variety and flexibility, confidently stepping into different responsibilities within the dynamic trade school environment.

Requirements:

  • Proven experience in reception and/or administration, with the confidence to step straight into a busy front-of-house role.

  • A genuine passion for customer service, with the ability to represent PEER professionally and positively at all times.

  • Outstanding written and verbal communication skills, enabling you to engage effectively with learners, apprentices, employers and staff.

  • Strong capability across Microsoft Office applications, with the confidence to navigate systems efficiently.

  • Tech-savvy and adaptable, with a willingness to learn new systems and software.

  • A proactive, solutions-focused mindset, with the ability to meet deadlines and follow through on tasks.

  • Exceptional organisational and multitasking skills, thriving in an environment where priorities can shift quickly.

  • Meticulous attention to detail, ensuring all records, communications and processes are completed to a high standard
